Servatto Crew — Privacy
Last updated 2 October 2026 · Servatto, operated by RS Foundations Pty Ltd (Australia)Servatto Crew is the staff app for businesses that use Servatto. Your employer (the business) decides who can use it and is responsible for the information about its staff; Servatto stores and processes it for them. This notice explains what the app keeps and why. It adds to the Servatto privacy policy.
What the app keeps
- Your name, mobile number, job title and pay rate, as your manager entered them in Servatto. Your number is how you sign in: we text you a one-time code.
- Your shifts, clock-ins, breaks and timecards, and any changes you ask for.
- Your location, only at the moment you clock in, start or end a break, or clock out, to check you are at the shop. The app does not track you in the background. We keep the distance from the shop with the clock event, not a map of where you were. Your manager sees a clock-in flagged when it was sent late (for example, saved on your phone while offline and sent later), from outside the shop, or with no location.
- Requests you make: swaps, open shifts, leave, availability and timecard changes, with your notes.
- Messages you send in team chat, and whether you have read announcements.
- Checklist entries: ticks, readings (such as fridge temperatures) and photos you take for a checklist. Photos are stored with the business's records and can be opened by anyone who has the link to them.
- Stock orders you place, with the counts you entered.
- Your phone's push notification token, so we can send you shift and message notifications. It is removed when you sign out.
- Your IP address and the type of phone, kept briefly for security and to limit abuse, such as too many sign-in attempts.
Who can see it
Your managers and the business owner, in Servatto's Back Office, for running the business: rosters, pay, food-safety records and orders. Teammates see your name on the roster, in chat and on checklist entries. Suppliers receive stock orders with the name of the person who ordered. We do not sell your information or use it for advertising.
Where it goes
Servatto runs in Australia (DigitalOcean, Sydney). Text messages go through Twilio, push notifications through Apple and Google, and WhatsApp messages to suppliers and shop groups through Whapi. They receive only what is needed to deliver the message.
How long we keep it
Timecards and pay records for as long as the business needs them for payroll and Australian record-keeping rules (generally 7 years). Chat messages until the business deletes them or closes its account; a message a manager removes is deleted, not just hidden. Sign-in codes for a day. When your manager removes you from the team, you can no longer sign in.
Your choices
You can turn off location for the app in your phone's settings; your manager will see that a clock-in had no location. You can mute chats and switch off notifications. To see or correct the information about you, or to have it deleted when you leave, ask your manager or email [email protected]. How to delete your Servatto Crew data.
